The BIM Outsourcing Checklist

Outsourcing BIM works brilliantly when it is set up properly and painfully when it is not. The difference is rarely the modeler; it is the brief, the standards and the expectations agreed up front. Use this checklist to get all three right before you send a single file.

1. Before you start, define the work

• Agree the scope per discipline (architecture, structure, MEP) and per deliverable.
• Specify the Level of Detail (LOD) required at each stage, element by element.
• Share your BIM Execution Plan, templates and CAD/BIM standards (or ask the partner for theirs).
• Confirm the software, version and file formats for exchange.
• Fix the coordinate system, units, levels and naming conventions.

2. Evaluate the partner

• Ask for sample models and drawings in your discipline, not just renders.
• Check they can work to your standards, not only their own.
• Confirm their coordination and clash-detection workflow.
• Review their QA process, who checks the work before it reaches you?
• Ask about data security, NDAs and how project files are stored.
• Run a small paid pilot before committing to a large package.

3. Set up the engagement

• Agree communication cadence, channels and a single point of contact.
• Define the review and revision process, and how many rounds are included.
• Set realistic milestones with buffers for coordination.
• Clarify timezone overlap and turnaround expectations.

4. Protect quality and delivery

• Require an LOD/scope matrix so nothing is assumed.
• Insist on coordination reviews, not just a final hand-off.
• Ask for model + drawings + schedules, all generated from the same model.
• Verify deliverables against your standards on the first issue, then trust but check.

Red flags to walk away from

Be cautious if a partner cannot show discipline-specific samples, refuses a paid pilot, has no documented QA, is vague about LOD, or promises unrealistically fast turnarounds on coordinated work. Good BIM is a process, and a partner who respects the process is worth far more than one who simply quotes the lowest price.
